Job Description

Position Summary

  • Reporting to the Workshop Manager, the Assistant Workshop Manager will be responsible for supporting workshop operations by assisting in staff management, safety compliance, equipment maintenance, procurement coordination, stock control, quality inspections, customer service, and general workshop administration.
  • The successful candidate will ensure that workshop activities are completed on time, to standard, and in full compliance with standard operating procedures.

Key Duties & Responsibilities

Workshop Operations & Strategic Planning

  • Support the Workshop Manager in aligning daily workshop activities with company goals, KPIs, operational standards, and management expectations.

Staff Supervision & Training

  • Train and guide staff on workshop procedures, technical work methods, SOPs, use of templates, good workshop practices, and performance expectations.

Human Resource Support

  • Support recruitment, induction, attendance monitoring, duty rosters, leave planning, performance evaluation, training coordination, disciplinary processes, and separation procedures in liaison with HR.

Health, Safety & Compliance

  • Assist in implementing EHS requirements, coordinating health and safety committee meetings, facilitating audits, preparing hazard evaluation reports, supporting permits, and ensuring safe work practices.

Workshop Assets & Equipment Management

  • Oversee allocation, use, servicing, repair, and documentation of workshop assets, PPE, tools, appliances, vehicles, and related equipment.

Procurement & Stock Control

  • Support procurement planning, stock replenishment, minimum and maximum stock level monitoring, supplier engagement, store layouts, GRNs, issue notes, RTS, STNs, and stock movement documentation.

Office Administration & Records Management

  • Ensure proper filing, document archiving, internal communication, records control, stationery management, document distribution, and compliance with administrative procedures.

Workshop Security & Quality Control

  • Monitor visitor access, staff movement, workshop keys, stamps, used spare parts disposal, client asset handovers, internal inspections, and workshop security procedures.

Customer Service & Client Asset Administration

  • Support preparation of BOQs and estimates, job cards, worksheets, insurance documentation, task closure tickets, asset labelling, client asset inspections, and repair action plans.

Housekeeping & Facility Standards

  • Ensure cleanliness, order, waste segregation, PPE washing, yard cleanliness, engine room cleaning, service bay organization, and safe working conditions across workshop areas.

Qualifications & Experience

  • Degree in Electrical Engineering or a related field.
  • Minimum 5 years’ experience managing a large and busy automotive workshop.
  • Good understanding of workplace safety, fire marshal requirements, first aid, and site safety.
  • Proficiency in Microsoft Office Suite.
  • Experience in workshop administration, procurement, stock control, staff supervision, and operational reporting.
  • Flexibility to work in Nairobi, Kisumu, Mombasa, or any other part of Kenya.
