Job Description
JOB PURPOSE
- To provide administrative and operational support for port activities, ensuring the timely processing of cargo documentation, coordination of port-related activities, and accurate recording and tracking of cargo movements.
Key Responsibilities
- Coordinate and follow up on port cargo clearance and movement activities.
- Prepare, verify, and maintain cargo documentation, delivery orders, gate passes, manifests, and related records.
- Liaise with shipping lines, clearing agents, transporters, port authorities, clients, and internal teams.
- Monitor cargo status and provide timely updates on arrivals, releases, loading, discharge, and delivery.
- Ensure all required documentation is available and properly filed before cargo movement.
- Assist with scheduling and coordination of trucks, drivers, and cargo collection/delivery.
- Capture and maintain accurate operational data in relevant systems and registers.
- Follow up on delays, discrepancies, missing documents, and other issues affecting cargo movement.
- Verify cargo details against documentation to minimize errors and discrepancies.
- Prepare daily operational reports and escalate any issues requiring management attention.
- Maintain proper records of port transactions and ensure documents are easily retrievable.
- Support reconciliation of cargo movements, truck movements, and related operational records.
- Ensure compliance with port procedures, company policies, security requirements, and applicable regulations.
Experience And Qualification
- Diploma or Certificate in Clearing & Forwarding.
- At least 1–2 years’ experience in port operations, clearing and forwarding, logistics, or a related environment.
- Experience working with port documentation and cargo movement processes is an added advantage.
- Good computer skills, particularly Microsoft Excel and Word.
- Familiarity with logistics, port, or cargo management systems is an advantage.
- Good understanding of C&F documentation and record-keeping procedures.
